Packing and Transporting Your Booth: The Road-Ready Vendor Kit
Share

The best booth in the world doesn't help if it shows up wrinkled, scratched, or missing a piece. As you vend more shows, especially regional ones that require a drive or a flight, how you pack becomes as important as what you bring. A good system means faster setup, less stress, and gear that lasts for years.
Build a kit, not a pile
Treat your booth like a touring band treats its stage gear: everything has a dedicated case and a fixed place. A typical vendor kit breaks into four groups:
- Display gear: banners, header, backdrop, tablecloth, risers, lights
- Inventory: cases, binders, boxes, sealed product
- Checkout: cash pouch, card reader, power bank, bags
- Tools: clips, tape, zip ties, scissors, markers, price stickers
Packing retractable banners and backdrops
A retractable banner rolls into its own base, which is what makes it so travel-friendly. To keep it in good shape:
- Always retract slowly and evenly to avoid creasing the graphic.
- Store it in its carry bag, base-down, never under heavy boxes.
- Keep the poles in the bag's pocket so they're never left behind.
A retractable backdrop works the same way at a larger scale. Pack it first in the vehicle so it sits flat on the bottom.
Packing tablecloths without wrinkles
Rolling beats folding. Roll your custom tablecloth around a cardboard tube or pool noodle, printed side out, to minimize creases. If it does wrinkle, most polyester fabrics relax after an hour on the table, and a small travel steamer fixes the rest.

Protecting inventory in transit
- Pack slabs upright in padded slab boxes, not loose in a bag.
- Keep high-value cases with you, never in checked luggage or an unattended car.
- Use labeled, stackable bins so you can unload in the order you set up.
Flying to a show?
Compact gear wins. A table-top retractable banner and a rolled tablecloth fit in a suitcase. Ship heavier items ahead if the venue accepts deliveries. Ask the promoter first.
