Taking Payments at Card Shows: Cash, Tap-to-Pay, and QR Codes

Custom business cards for card show vendors

Card shows used to be cash-only events. Today, a growing share of collectors show up with nothing but a phone and a card. If your booth can't take digital payments, you're not just inconveniencing buyers; you're handing sales to the table next door.

Cash: still king for negotiation

Cash remains popular, especially for haggling. Many vendors offer a small discount for cash because they skip processing fees. If you do, say so clearly. Bring plenty of small bills, a lockable cash pouch you keep on your body, and never leave cash unattended on the table.

Card readers and tap-to-pay

Mobile processors like Square, PayPal Zettle, and others let you take chip cards and contactless payments with a small reader, or with just your phone via tap-to-pay. Key things to check before a show:

  • Fees: processing rates vary by method (tap, chip, or keyed-in). Factor them into your pricing.
  • Offline mode: convention halls often have terrible signal. Some apps can store transactions offline and process them once you reconnect. Test this at home first.
  • Battery: carry a power bank. A dead phone at 2 p.m. is a lost afternoon.

QR codes and digital wallets

Many collectors prefer to pay with apps they already use. A printed QR code that links to your payment profile makes this fast. Put it where buyers can scan it without reaching across your cards, and print it on your business cards too. Then the same card that pays for today's purchase leads them back to your online store tomorrow.

Tell people how they can pay, before they ask

The most common payment problem isn't technical. It's buyers assuming you only take cash and walking away. Display your accepted payment methods prominently. A table-top retractable banner can carry a "Cash • Card • Tap • QR" strip along the bottom, and your custom tablecloth front panel can include the same icons so they're visible from the aisle.

Protect yourself from payment problems

  • Wait for the "approved" screen before handing over cards.
  • Be cautious with keyed-in card numbers; they carry higher fraud risk.
  • For digital transfers, confirm the payment actually arrived in your app, not just a screenshot.
  • Keep high-value cards in a closed case until payment is confirmed.

Make checkout part of your brand

Every transaction is a chance to be remembered. Slip a die-cut sticker and a business card into each bag or top-loader sleeve. It costs pennies and turns a one-time purchase into a reason to follow you.
